SAALCK Pressbooks Committee Charter

Purpose

The SAALCK Pressbooks Committee is a representative standing committee authorized by the SAALCK Deans and Directors and formed to determine and review procedures, recommend policies, and administer the shared Pressbooks resource at the consortium level.

Membership and Terms

Standing membership

Standing membership will reflect the institutional makeup of the SAALCK consortia group. Members will be named by each SAALCK library’s Dean or Director except for KCTCS representatives who will be named by the KCTCS Library Director Group.

Each SAALCK library receives one member except for KCTCS which receives two.

A review of membership is undertaken by the SAALCK Deans and Directors every three years.

Network Administrators

Up to three, but no less than two Network Administrators are chosen from the standing committee membership and named by the SAALCK Deans and Directors.

Network Administrator appointments will be staggered to avoid knowledge loss and members may serve three fiscal year terms in a row. After a term is complete, a former Network Administrator may remain a mentor to new Administrators if necessary.

During the first round of appointments, SAALCK Deans and Directors should appoint one person for a one year term, one person for a two year term, and one person for a three year term.

Committee Chair and Committee Secretary

Committee Chair and Committee Secretary are appointed by committee membership on a fiscal year calendar rotation. At the last meeting of the fiscal calendar year, the outgoing Chair will request volunteers for Chair and Secretary for the upcoming year. If more than one volunteers for either seat, an election will be held by the outgoing Chair.

Member Roles and Responsibilities

Chair The Chair will draft agendas, convene and lead meetings, archive decisions/discussions, and communicate with stakeholders (including SAALCK Deans and Directors and other relevant stakeholders). In collaboration with the Secretary and members, the Chair will prepare an annual report.
Secretary The Secretary will maintain and compile meeting minutes and manage a shared Google Drive folder. In collaboration with the Chair and members, the Secretary will edit, finalize, and submit an annual report.
Members Committee members will serve as their campus contact for Pressbook concerns. They will attend and actively participate in meetings, communicate committee updates with their institution, contribute to the annual report, and manage communication between the Network Administrators and institutional end users.
Network Administrators  At least two and no more than three members of the committee will be named to the Network Administrator subgroup where they will receive access to Pressbooks premium support, network analytics, additional network configuration tools, and the Pressbooks Community Forum. In addition to their role as a committee member, Administrators will manage individual user memberships, manage book creation and deletion, share network analytic reports, update platform configurations as needed, stay abreast of and report on updates to the platform, and manage premium support communication between campus contacts and Pressbooks premium support.

 

Estimated time commitment

The time commitment for members varies; at minimum, the entire committee meets four times per year.

The time commitment for the Chair, the Secretary, and any subgroup members is higher than for standing members.

The Network Administrators’ time commitment will be significant and should be taken into account by SAALCK Deans and Directors when making appointments.

Reporting

Documentation is kept in a shared Google Drive folder managed by the Secretary. Shared documentation includes, but is not limited to: meeting agendas, meeting minutes, SAALCK Pressbooks policies, and annual reports.

All current members receive Edit access to the folder and all current SAALCK Deans and Directors receive View access.

A report, the contents of which will be determined by committee membership with input from the SAALCK Deans and Directors, will be compiled and shared annually with the SAALCK Deans and Directors and other relevant stakeholders.

Guidelines

Meetings are informal and participatory with decisions and recommendations made by consensus.

The committee performs day-to-day management of the platform and provides recommendations to the SAALCK Deans and Directors on policy decisions.
